Learning Management and Organisation Regulation

1. General Provisions

1.1. This regulation establishes the principles for organising learning and training activities within Educraftor Academy.
1.2. The regulation applies to all learners, trainers, and staff involved in training activities globally.
1.3. The principles outlined in this regulation are based on recognised international best practices in adult learning and professional development.
1.4. Financial, contractual, and platform-related conditions are governed by the Terms and Conditions of Educraftor Oy Ab.

2. Admission and Enrolment of Learners

2.1. Learners are admitted to training based on registration via the designated channels.
2.2. Admission may be subject to prerequisites defined in the programme or course description.
2.3. The target group, prerequisites, and specific participation conditions are described in each programme or course.
2.4. A training group is formed based on pedagogical and organisational considerations.
2.5. To ensure a meaningful and supportive learning experience, the institution may review registrations and, where appropriate, suggest alternative learning options or decline participation if the training is not the best fit for the learner’s needs, expectations, or prior experience.

3. Organisation of Training

3.1. Training is conducted according to defined curricula or programme structures that outline learning objectives, content, and learning processes.
3.2. Training may take place in online, in-person, or blended formats.
3.3. The language of instruction is specified in each programme or course description.
3.4. Attendance and participation expectations, where relevant, are defined in the programme.

4. Assessment and Completion

4.1. Learning objectives and completion requirements are defined for each programme.
4.2. Where applicable, participants’ achievement of learning objectives may be assessed.
4.3. Participants may receive:
  • a certificate, where learning objectives are demonstrated, or
  • a confirmation of participation, where no formal assessment is conducted. 
4.4. Certificates and confirmations:
  • are issued and recorded by the institution,
  • may be issued electronically or in paper form.

5. Learning Environment

5.1. The institution ensures a learning environment that supports the achievement of learning objectives.
5.2. The learning environment may be physical, digital, or blended.
5.3. The institution ensures that tools, materials, and conditions are appropriate to the learning experience.

6. Rights and Responsibilities

6.1. Learner Rights:

  • to receive clear information about the learning experience and its objectives,
  • to participate in training according to the programme design,
  • to receive feedback and recognition according to completion requirements,
  • to provide feedback or raise concerns.

6.2. Learner Responsibilities:

  • to actively engage in the learning process,
  • to follow the agreed norms of the learning environment,
  • to respect other participants and facilitators.

6.3. Trainer Responsibilities:

  • to facilitate learning in alignment with programme design,
  • to support participants in achieving learning objectives,
  • to maintain and develop professional competences.

7. Quality Assurance

7.1. The institution ensures the quality of:
  • learning design and curricula,
  • trainers and facilitators,
  • learning environments.
7.2. Programmes are regularly reviewed and updated.
7.3. Participant feedback is used to improve learning experiences.
7.4. The institution ensures that its training activities are conducted in compliance with applicable legal and regulatory requirements, including the General Data Protection Regulation (EU) 2016/679 (GDPR) and relevant laws of Finland, and are aligned with recognised professional standards and quality assurance practices in education and training.

8. Feedback and Complaints

8.1. Feedback on training is collected using appropriate methods (e.g. surveys, reflection activities).
8.2. Participants may raise concerns or complaints regarding the learning experience.
8.3. Such concerns are reviewed and addressed within a reasonable timeframe.
8.4. Financial or contractual matters are handled in accordance with the Terms and Conditions.

9. Documentation and Data Protection

9.1. The institution maintains records of training activities and issued certificates.
9.2. Personal data is processed in accordance with applicable data protection regulations, including the General Data Protection Regulation (EU) 2016/679 (GDPR), and in accordance with the institution’s Privacy Policy.
9.3. Documentation related to training, including participant data, attendance records, curricula, and issued certificates, is stored securely. Access is restricted to authorised personnel and documentation is used solely for organising training, issuing certificates, fulfilling legal obligations, and ensuring quality assurance, and is retained in accordance with applicable regulations.

10. Dispute Resolution

10.1. Issues related to the learning experience are addressed through dialogue between the parties.
10.2. If no agreement is reached, disputes are resolved in accordance with the Terms and Conditions, which are governed by the laws of Finland.
